1. Who we are
Trusted Advisor Solutions Limited is a private limited company registered in England and Wales. For data-protection purposes, we are normally the controller of personal information used to manage enquiries, client relationships and our own business.
Registered office: Flat 87 Richmond Gate, 1 Richmond Hill Drive, Bournemouth, England, BH2 6LT.
Privacy contact: daniel@trusted-advisor.uk.
2. Information we may collect
Depending on the enquiry or engagement, we may process:
- identity and contact details;
- business, employment, property, financial and tax-administration information;
- correspondence, forms, contracts, invoices, evidence and project records;
- information about family members, employees, clients, tenants, landlords, advisers or other relevant people;
- identity, immigration, travel or customs documents where required for the agreed service;
- special-category information such as health, disability or support needs where relevant to a benefits or similar application;
- payment and transaction records, but not complete card details handled by a payment provider;
- enquiry history, preferences and service feedback; and
- technical connection information such as IP address, device, browser, server logs and security events generated through website hosting.
3. How information is collected
Information may come from you, someone authorised to act for you, documents you provide, public registers, relevant authorities, appointed professional advisers, service providers or other people involved in the matter. We may verify information against reliable public or official sources where appropriate.
The website enquiry form does not upload its contents to our website. It prepares an email in your own email application. Your email provider and ours will process that message.
4. Why we use information and our lawful bases
We use personal information to:
- respond to an enquiry and take steps requested before a contract—usually necessary for pre-contract steps or our legitimate interests;
- deliver, administer and invoice for agreed Services—usually necessary for contract performance;
- communicate with clients, manage quality, protect confidential material and maintain records—usually contract performance or legitimate interests;
- meet accounting, tax, fraud-prevention, regulatory and legal obligations—necessary for legal obligation or legitimate interests;
- establish, exercise or defend legal rights—legitimate interests and, where applicable, the legal-claims condition for special-category data; and
- send marketing only where permitted by law, using consent where required. You can opt out at any time.
5. Health and other special-category data
Some personal-support work may require health or disability information. We process it only where necessary and with an additional lawful condition, normally your explicit consent or where necessary for the establishment, exercise or defence of legal claims. You may withdraw consent, although that may prevent us from continuing work that depends on the information.
We do not deliberately seek criminal-offence data unless it is relevant and lawful to process for a specific engagement, compliance check or legal claim.
6. Sharing information
We may share the minimum necessary information with:
- people or organisations you authorise;
- professional advisers, customs brokers, accountants, solicitors, authorities or other parties involved in the agreed work;
- secure technology, email, file-storage, accounting, payment and administrative providers acting under appropriate obligations;
- insurers, legal advisers, auditors or debt-recovery providers where reasonably necessary; and
- police, courts, regulators or public authorities where disclosure is legally required or justified.
We do not sell personal information.
7. International transfers
Some technology providers or engagement parties may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we use an adequacy regulation, approved contractual protections or another lawful transfer mechanism. For EU removals work, information may need to be sent to an EU-based agent or authority as part of the service.
8. Security and confidentiality
We use proportionate organisational and technical measures designed to protect information against unauthorised access, loss, alteration or disclosure. No email or internet system can be guaranteed completely secure, so sensitive material should be sent only through the route agreed for the engagement.
See the separate Client Confidentiality page for our working commitments.
9. Retention
We keep information only as long as reasonably necessary for the purpose collected, legal and tax requirements, insurance, complaints and potential claims.
- Enquiries that do not become engagements are normally retained for up to 12 months.
- Core client, contract, payment and work records are normally retained for up to seven years after an engagement ends.
- Working copies containing identity, health or similarly sensitive information may be deleted earlier when no longer needed.
- Records may be retained longer where a law, dispute, investigation or legal claim requires it.
10. Your rights
Depending on the circumstances, you may have the right to request access, correction, deletion, restriction, objection, portability and withdrawal of consent. You may also object to direct marketing at any time.
Rights are not absolute and may be limited by law, another person’s rights, confidentiality, legal claims or record-keeping obligations. We may need to verify identity before responding.
11. Complaints
Please contact us first so we can try to resolve the issue. You may also complain to the Information Commissioner’s Office at ico.org.uk or by calling 0303 123 1113.
12. Changes
We may update this notice to reflect changes in law, technology or our services. The current version will be published here with its update date.
